

Prime Timers Hamilton

At the Board of Directors meeting of February 24, 2021, the following policy was adopted in an effort to clarify the various types of events available to Prime Timers Hamilton members and friends.

Event Definitions
Prime Timers Hamilton events must be organized at least one (1) month in advance whenever possible. This is to allow time to advertise the event in Prime News Hamilton.
Our event categories are as follows:
Prime Timers Hosted Events

created by Prime Timers members on behalf of the chapter

priority must be given to Prime Timers members
-
guests may be accommodated if space allows
-
RSVP to host
-
location and time not to be released except to those who RSVP
-
the host may ask for a suggested donation to cover any costs he may incur in hosting the event
-
host responsible for collecting any donation
-
the host must report the location and time of his event to the Board prior to the event (this information will be kept confidential by the Board)
-
the host must report any expenses paid and donations received to the Treasurer for transparency

Prime Timers Sponsored Events

generally, these events have a cost involved paid by Prime Timers

priority must be given to Prime Timers members

guests may be accommodated if space allows

Board may pass the cost along to the members attending the event
-
if a fee is involved, non-members will be charged a premium over the amount charged to members and that premium will be set by the Board

RSVP to the Board or designee
-
location and time not to be released except to those who RSVP

usually an event the member plans to do anyway and invites other Prime Timers to join him

the member host may choose to include non-members as well

RSVP’s go directly to the host who has sole control over the event

any costs involved are the responsibility of the participants

Prime Timers may advertise the events when requested

Prime Timers is not responsible for these events
